Terms & policies
Last updated: October 2026
These are the plain-language terms behind working with Balanced Books & Advisory. Before we start, you'll also receive a written engagement letter that spells out the details for your situation. If the two ever differ, the engagement letter controls.
What I provide
Balanced Books & Advisory provides bookkeeping and business advisory services for contractors and tradespeople: monthly bookkeeping, cleanup and catch-up projects, and advisory. The exact scope of each engagement is described in your engagement letter.
Fees and billing
- One-time projects (such as cleanup and catch-up): 50% is due upfront, and the balance is due when the work is complete.
- Monthly bookkeeping and advisory: billed in advance for the month.
- Invoices are sent electronically, and the payment options are listed on each invoice.
Late or failed payments
If an invoice is more than 10 days past due, including when a payment method fails or is declined and isn't replaced, I may pause work until it is paid. I'll contact you before pausing, and work resumes once the balance is settled.
Client responsibilities
Accurate, timely books depend on complete financial records and on receiving them on time. To make that possible, clients agree to one of the following for each financial institution:
- View-only access: where your bank, credit card company, or other financial institution offers read-only (view-only) access, you provide it and keep my access current, for example by updating it when a login, connection, or account changes.
- Documents sent to me: where an institution can't provide view-only access, you send me the statements and other financial documents I need in a timely way, so I can perform and complete the work I was engaged to do.
Missing or late records can delay the work and may affect timelines and fees.
Changes to scope
If I find something outside the agreed scope, such as accounts, transactions, or records that were not disclosed at the start, I'll tell you before doing the extra work, and we'll agree on any additional fee in writing. Additional work is billed in addition to the original fee.
Projects that stop early
If a cleanup or catch-up project is stopped before it is complete, and the work performed does not exceed 60% of the full project, the upfront payment covers the work done and no further fee is due. If the work performed exceeds 60%, the fee for the work completed to date is due, less the upfront payment already made. How much work has been completed is determined as described in your engagement letter.
Cancellation
There are no long-term contracts. You can cancel ongoing services at any time with 30 days' notice. Services continue through the notice period. Fees for a month that has already been billed in advance are not prorated or refunded if you cancel partway through it.
Refunds and billing questions
Fees for work already performed are not refundable. That said, if I make an error or you aren't happy with something I delivered, tell me and I'll make it right, whether that means correcting the work at no charge or adjusting the invoice where appropriate. If you think an invoice is wrong, please contact me within 30 days of the invoice date at info@balancedbooksadvisory.com, and I'll review it promptly and work with you to resolve it.
Your books stay yours
Your books and records belong to you. You keep access to your own accounting file, such as your QuickBooks Online account, during and after our work together.
What these services are not
My services are not tax preparation, legal advice, or an audit, and they are not a substitute for a licensed CPA, tax preparer, or attorney. I'm glad to work alongside the professionals you already use.
Governing law
These terms are governed by the laws of the State of Colorado.
